1. Sub- National Director
POSITION SUMMARY
The sub- national director helps lead, manage and develop the national association with its chief executive, ensuring effective delivery of programmes and services to children and youths, families and communities within the frame of the international SOS organisation’s Vision, Mission & Values and strategic plan.
GENERAL AIM OF THE POSITION
· Be part of strategic planning / positioning processes of the association to ensure sustainability and relevance of the association’s work.
· Help ensure the operational effectiveness of all offices and programmes and guarantee child-care quality according to the organisation’s defined standards.
· Help ensure the effective and sustainable management of the national association’s financial and other resources.
· Help build the human capacity of the association to ensure its long-term growth and stability.
· Help ensure strong local rooting
· Help promote and manage an appropriate image of the organisation both internally and externally.
COOPERATION AND REPORTING RELATIONSHIPS
· Report directly to the National director.
· Foster a professional relationship and maintain close cooperation with the local units and the international organisation.
· Help lead and supervise the national management team (programme/ facility heads as well as departmental heads).

2. Operations Advisor
GENERAL AIMS OF THE POSITION
The Operations Advisor ensures transparency, accountability and the efficient and proper use of funds. Provides relevant information for management, steering and decision-making processes. Support fundraising and co-ordinates the flow of funds and information. Furthermore, provides technical expertise, in order to enable to conduct construction and other projects in a timely and cost-effective manner, and to attain the quality stands in place.

· Develop, monitor, support and evaluate the implementation of internationally agreed quality standards on behalf of the federation, and take action if standards are not respected

TASKS OF THE POSITION
· LINKING FINANCIAL NEEDS AND INTERNATIONAL FUNDS: Concerns construction and running costs.
· FINANCE SUPPORT: In the areas of accounting, planning, budgeting, and internal control system of member associations.
· INFORMATION MANAGEMENT and GENERAL COORDINATION: Encompasses information on construction projects and running operation of programmes; make these facts and figures as well as supporting material for fundraising available.
· SPONSORSHIP SERVICES: Supervise the co-ordination of international sponsorships.
· CONSTRUCTION SERVICES: Comprises services in the following phases of a construction project: Preparation, pre-planning, tendering, construction, completion, maintenance of buildings and premises.
· STANDARDS AND TOOLS: In finance, information management, construction, sponsorship.
· EMERGENCY SITUATIONS and CRISIS MANAGEMENT: Ensure that in case of a crisis, the necessary structure and processes are put in place so as to successfully overcome and solve the crisis.

3. Organizational Development Assistant
GENERAL AIM OF THE POSITION
· The Organizational Development Assistant provides services, advice, controlling and maintenance to the Human Resources Department. Participates in developing and implementing the national plan relating to Human Resources. He/She is ensuring the implementation of the Human Resources department plan, the SOS-KDI guidelines, policies, approaches and strategies. .

TASKS OF THE POSITION
· The Organizational Development Assistant looks after the national facility staffing patterns and initiates proposals when necessary.
· He/She is responsible for ongoing process in Job descriptions and job profiles development and update for the organisation.
· He/She looks after that all new employees in the organisation receive a formal orientation programme throughout a developed “national orientation programme system”, informing and involving all staff concerned.
· He/She receives information on training/development needs and either follows them up immediately or integrates them into a strategic plan. He/She organises individual and/or group training events on the basis of development plans and follows up learning throughout formal evaluation of trainings and staff development measures.

4. National Advocacy Coordinator
GENERAL AIMS OF THE POSITION
The national advocacy coordinator is in charge of designing, coordinating and monitoring child rights advocacy and related partnership activities in his/her country and is part of the network responsible of the same at continental level.
In this work area, he/she:
- provides expertise to the Programs Advisor
- proposes the related strategic goals and actions at national level (National Advocacy Plan)
- ensures through his/her work that the set goals under his/her responsibility are reached.
He/she is also in charge of establishing and maintaining cooperation/partnerships with other child rights/development actors and of advocating on behalf of the organization for the rights of children without parental care or at risk of losing it.
MAIN TASKS AND RESPONSIBILITIES
- Lead and coordinate child rights advocacy and related partnership activities in the country as delegated by the PA and ND.
- Ensure the development of the National Association’s advocacy work (assessment – gap analysis, strategy, planning, monitoring and evaluation) thereby proposing corresponding objectives and actions for the National Association Strategic and Annual Plan and ensuring that advocacy initiatives are a consistent part of the implementation of the Strategy 2009-2016 (ONE child strategic Objective, Child Centred Approach Policy) at national and facility level
- Lobby for sufficient resources for carrying out the advocacy work.
- Develop, implement and evaluate different kinds of advocacy work (public campaigns, building alliances, mobilise and participate, etc.) (depending on the specific goals the NA has set itself).
- Regularly conduct internal and external analysis on the situation of children’s rights in the country (on a child rights based approach) and share/make their outcome known and available to other national staff concerned (eg. pedagogical, family strengthening, education staff)
- Actively support other departments/colleagues of the national office in introducing advocacy activities as a component of their projects and programmes. This also ensures the link to other fields of work, as well as the use of synergies at national level.
- Together with the Programs Advisor and/or National Director, represent the National Association when appropriate at main national/international conferences, working groups and platforms of relevance; respectively propose for approval of the PA and/or ND the nomination of most appropriate co-worker(s) for attending such events.
- Identify capacity building needs of the NA staff in child rights, advocacy, etc. and set-up/facilitate national training processes accordingly. In particular, build internal capacity for advocacy around “children without parental care or at risk of losing this care”.
- Report to the Advocacy on progresses/experiences made. Share and document good practices.
- Ensure a good flow of information within the NA on child rights/child protection issues in the country and related policy trends (change in the national legislation, new structures in place, main problems, challenges, gaps, etc.) within the child welfare system.
- Remain informed on the main activities and events of the civil society in the country.
- Provide feedback in the process of elaboration of documents (policies, guidelines) as requested..
- Understand and value the SOS Children’s Villages child-care model/approach and other activities: be familiar with and accept the philosophy, principles, policies and structure of the NA and of SOS-Kinderdorf International.

5. Communication and Resource Mobilization Coordinator
GENERAL AIMS OF THE POSITION
· The main aim of the CRM Coordinator is to pursue opportunities in her/his country to cover the National Associations’ running costs and investments from private sector donations in order to increase the financial self-sufficiency of the national association. Furthermore he/she coordinates measures of communication in order to ensure transparency and visibility of the organisation.
· He/she plans and supervises the direction of the communications department: sets activities and measures for internal and external communication (including media relations) and provides direct supervision for the communications assistant.
· He/she plans, monitors, evaluates and analyses Fundraising Activities. Aims to position SOS Children’s Villages as a strong and consistent brand among potential and existing supporters based on SOS Children’s Villages roots, vision, mission and values.
· The CRM Coordinator conducts her/his work according to the valid manuals and guidelines for the Operations and Fund Development & Communication departments. She/he reports to the National Director, the Board of Directors and to the Operations Advisor of RO Lace.
MAIN TASKS AND RESPONSIBILITIES OF THE POSITION
· She/he is innovative and creative in raising funds based on research and continuous evaluations of fundraising opportunities, methods and results.
· She/he coordinates the sector of IPD (Institutional Partnership Development) which consists of monitoring the calls/appeals of institutional donors, organizing trainings for SOS staff (LFA, PCM[1]), writing applications and reports or help other departments do so.
· Have a good mix of products (committed giving, donations in kind, tailor-made proposals, and single/sporadic gifts), channels (direct mail, face2face, and events) and specific target groups (big corporations, regional companies, multinationals).
· Build long lasting relationships with corporate donors and to apply database management in form of donor relationship management principles.
· She/he is the main contact for PSA (Promoting and Supporting Agencies) and international media, coordinating the requests with other departments. She/he also provides coaching for external communication, media- and donor-relations to other departments, if required.
· She/he has to adhere to all official manuals, guidelines, minutes of the workshops organised by the Operations and Fund Development & Communication Departments, as well as to the legal requirements in the country.
· She/he supports and coordinates the facilities in their local Fundraising activities, such as in raising donations in kind.
· She/he monitors the development of the market, as well as fundraising-related legal regulations (e.g. tax exemptions, data protection) and the economic development (e.g. increase of costs, economical growth) in the country.
· Supervising and proofreading (or correcting) texts, photos, podcasts and videos for purpose of external communication - she/he ensures, that every message uses the internationally defined terminology of the organisation and transmits the vision. (This applies to content and appearance - following SOS CV guidelines like the brand-book and the design manual).
· Child rights & advocacy: the CRM Coordinator ensures that communication for fundraising follows a child-rights terminology and approach (incl. respect of the children’s right to privacy) and is co-ordinated and consistent with communication and messages pursuing advocacy objectives.

6. International Sponsorship Coordinator
PURPOSE OF THE POSITION
He/she is the link between sponsors, the national association and the Sponsorship Office in Vienna (SPO). He/she is responsible for the administration, coordination and supervision of the sponsorship programme, following the regulations, policies and procedures established by the international guidelines and the SOS International Sponsorship Services Manual. He/she is responsible for the translation, submission, reception and custody of correspondence and information of sponsors, children and youths.
GENERAL AIM OF THE POSITION
1. Guarantee at every moment the confidentiality of personal data of children, youths, and sponsors.
2. Use the SPS programme to register and manage the sponsorship data. (Inscriptions, departures, transfers, change of addresses, visits, received and sent correspondence, etc.)
3. Take care of all the information requests sent by the SPO (pictures, letters, reports, etc.)
4. Verify, together with the NCO administration and finance advisor, the reliability of balances in savings accounts.
5. Prepare gratitude letters and acknowledge receipt of sponsorship gifts received in the NCO.
6. Maintain in the SPS an updated register of all children and youths registered in the international sponsorship programme.
7. Prepare and send reports and pictures according to the guidelines of the SOS International Sponsorship Services Manual.
8. Prepare and develop sponsorship training and work planning workshops for directors, social workers, youth leaders, SOS mothers or other co-workers assigned to assist the sponsorship work.
9. Coordinate and monitor the elaboration process of Christmas cards for sponsors.
10. Coordinate the visits previously announced directly by the sponsor or through the communication sent by the correspondent of the SPO.
11. Take part in induction meetings to assure that the sponsorship work is widely known at every level of the organization.
12. Translate the correspondence received by sponsors as well as the replies of all children.
13. Make the necessary procedures for the attention and follow-up of sponsorship of children and youths who are transferred to foreign countries due to academic education.
14. Other related and complementary activities that will be assigned by the national director provided that those do not deviate the attention of the co-worker on the fundamental sponsorship work.
MAIN TASKS AND RESPONSABILITIES
Attention and communication with sponsors
Guarantee the continuous communication flow to achieve satisfactory information required by international sponsors (regular correspondence, agreement requests with the guidelines established by the SPO, progress reports, current pictures, etc.)
Relation with SOS Programmes
Achieve a fast and effective communication with co-workers of SOS programmes. Offer advisory to assure the good operation of sponsorship in the country. He/she plans tasks and establishes the submission date together with the sponsorship coordinator assigned by the village director. Follows-up the activities related to the sponsorship work.
Communication with the Sponsorship Office in Vienna
Maintain the communication system flow with the Sponsorship Office in Vienna. This responsibility includes the efficient management of all technological tools that SPS offers (sponsorship software).
Style, form, translation and writing of reports:
Achieve that the correspondence with sponsors has the communication style indicated in the guidelines of the SOS International Sponsorship Services Manual.
